We are seeking a highly organized and personable Office Administrator with Accounts Receivable responsibilities to join our client’s team. This role serves as the backbone of our daily operations, ensuring smooth administrative functions while managing critical financial processes. The ideal candidate is a detail-oriented professional who thrives in a collaborative environment and takes pride in keeping everything running efficiently.
Overview of Responsibilities & Duties
Administrative Functions:
– Serve as a point of contact for clients, vendors, and visitors, providing exceptional customer service (where assigned)
– Assist in managing office operations including supplies, equipment maintenance, and vendor relationships
– Maintain organized filing systems for both physical and digital records
– Prepare correspondence, reports, and presentations as needed
– Assist with special projects, events, and company initiatives
– Support HR functions including onboarding documentation and employee files (when assigned)
Accounts Receivable:
– Generate and distribute invoices accurately and in a timely manner
– Monitor accounts receivable aging reports and follow up on outstanding balances
– Process payments and post transactions to accounting system
– Reconcile customer accounts and resolve billing discrepancies
– Communicate professionally with clients regarding payment inquiries
– Manage collection activities and coordinate with internal team members & clients
– Prepare accounts receivable reports for management review
– Assist with month-end closing processes
– Maintain compliance with company credit and collection policies
Overview of Desired Experience, Skills & Qualifications:
– 3+ years of experience in office administration and/or accounts receivable
– Proficiency in Microsoft Office Suite, particularly Excel
– Experience with accounting software (QuickBooks or similar)
– Strong numerical aptitude with exceptional attention to detail
– Excellent written and verbal communication skills
– Ability to manage multiple priorities and meet deadlines
– Professional demeanor with a positive, can-do attitude
– Associate’s or Bachelor’s degree in business, Accounting, or related field
– Experience in working for a privately held family run business
– Familiarity with CRM systems and digital file management platforms
– Strong background in customer service or client relations
