Purchasing Agent (Construction)

Comp: $50K-$60K depending upon experience

Job Summary
The Purchasing Agent is responsible for sourcing, ordering, and tracking all equipment and materials needed for various job sites. This position ensures timely procurement, inventory management, and coordination with vendors and internal teams to support project needs.

Responsibilities:
• Order Equipment and Materials: Ensure all necessary equipment and materials are ordered according to job specifications and required timelines.
o Schedule and track orders based on the project’s timeframe.
o Alert the team of any issues or delays in delivery.
• Vendor Management: Maintain up-to-date vendor pricing and vendor networks, ensuring competitive pricing and consistent vendor performance.
• Job Order Logs: Update and maintain logs for each order including order date, receive date, and estimated shipping date to ensure accuracy.
• Inventory Checking: Inspect and verify inventory upon receipt in the warehouse to confirm proper deliveries.
• Reordering Equipment: Manage requests from the field to reorder missing or broken equipment, ensuring minimal disruption to project progress.
• Vendor Setup in Sage: Set up new vendors and subcontractors in Sage, including gathering W-9 forms, insurance certificates, and signed Terms & Conditions.
• Return Goods Authorization (RGA): Work with vendors to obtain RGAs and coordinate the shipping of returns with the warehouse.
o Follow up on vendor credits and ensure proper processing.
• Inventory Monitoring and Reordering: Regularly monitor inventory levels and reorder materials as needed to prevent shortages or delays.

Qualifications:
• Proven experience as a Purchasing Agent or similar role.
• Strong understanding of procurement processes and vendor management.
• Experience with inventory tracking and software (Sage or similar).
• Strong organizational skills with the ability to manage multiple tasks and deadlines.
• Excellent communication skills, both with internal teams and external vendors.
• Detail-oriented and proactive in identifying potential issues before they arise.

Preferred Skills:
• Familiarity with warehouse operations and inventory control systems.
• Ability to adapt quickly to changing job site needs and timelines.
• Proficient skill with MS Word, Outlook, and Excel
• Experience using Sage 100, QuickBooks, or other ERP programs

Experience:
• Purchasing: 1 year (Required)
• Construction industry: 1 year (Preferred)
