Administrative, IT & Marketing Assistant (Consulting)

Salary: $55K–$65K based on experience

Position Summary

We are seeking a highly organized, proactive, and tech-savvy Administrative, IT & Marketing Assistant to support our growing team. This multifaceted role combines administrative support, marketing coordination, basic IT liaison responsibilities, and client communications. The ideal candidate is detail-oriented, enjoys working in a fast-paced environment, and can effectively manage multiple priorities while maintaining exceptional customer service.

Key Responsibilities

Administrative & Client Management

  • Maintain and update client databases across Outlook, HubSpot, MailChimp, LinkedIn, and internal distribution lists.
  • Perform accurate data entry and ensure client information remains current.
  • Manage the monthly online training calendar, including class scheduling and updates.
  • Handle daily email and phone communications with clients and internal team members.
  • Send routine client communications, including daily and weekly emails.
  • Coordinate office mailings and Post-Office runs.
  • Assist with special projects and other administrative duties as assigned.

Marketing Support

  • Manage the company’s social media presence, including regular LinkedIn posts and content updates.
  • Update and maintain the company Google Business Profile.
  • Organize and maintain files within Google Drive.
  • Coordinate and manage lead distribution with the sales team.
  • Support marketing initiatives and promotional campaigns.

IT Coordination

  • Serve as the internal point of contact for technology-related issues.
  • Coordinate with the company’s outsourced IT provider to resolve hardware, software, and user support requests.
  • Track and follow up on technical issues to ensure timely resolution.

Sales & Team Support

  • Complete new sales onboarding checklists.
  • Prepare and distribute weekly training certificates.
  • Send welcome and introductory emails to new clients.
  • Prepare materials and agendas for monthly sales meetings.
  • Maintain weekly team huddle topics and meeting documentation.

Office Operations

  • Order and maintain office supplies.
  • Coordinate office refreshments, including coffee and bagel orders.
  • Maintain the office master calendar and scheduling book.
  • Assist in creating an organized, professional office environment.

Qualifications

  • 2+ years of experience in administrative, office management, executive assistant, or coordinator role.
  • Strong proficiency with Microsoft Outlook, Microsoft Office, Google Workspace, and CRM platforms such as HubSpot.
  • Experience with MailChimp, LinkedIn, and social media management is preferred.
  • Comfortable learning new technology and coordinating with third-party IT support.
  • Exceptional organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects while maintaining attention to detail.
  • Self-motivated with a positive, team-oriented attitude.

Preferred Skills

  • Experience with CRM/database management.
  • Basic understanding of marketing and social media best practices.
  • Ability to troubleshoot basic technology issues before escalating them.
  • Strong customer service mindset.
